Managing Broken Appointments in Practice-Web

Just the other day a customer called inquiring on how to pull up a report of broken appointments. For their particular management needs, they needed to be able to keep the broken appointment on the appointment schedule (for reporting) and be able to double book a confirmed appointment. Hmm…Luckily enough Practice-Web is capable of doing this very task and here is how.

Two appointments can not be scheduled in the same time slot in the same operator. Otherwise, you wouldn’t be able to see the information for the covered appointment.  So how do you solve this double booking issue?

Step 1: Create an operatory to hold only broken appointments

Notice that I created one broken appointment column for each active operatory I have, that way I am not navigating too much.

Step 2: Customize two appointment views one with Broken Appointment operatories and the other without

On the left side, you can see that all of the operatories will be visible. On the right side, you can see the different view options. You can customize as many views as your practice needs.

To change views in the appointment module use the drop-down menu in the view field from your appointments module.

With one mouse click, you can easily change between views

Go ahead and try it.  Create your operatories and customize your views. Then move an appointment into the broken appointment operatory and change the appointment view. Voila’! The appointment will now be “hidden”.  The broken appointment can remain at its originally scheduled time, but your active operatories can continue to hold active appointments.
