Happy New Year Everyone! 2013 was great! We have been in constant development all year, working on products and services that will help your practice excel in 2014. We’re are very excited to see what this year holds. Since 2014 has launched out of the gate we have noticed an influx of calls on the same topics. All calls relating to how to get ready for the rest of the year. Below you will find a list of “housekeeping items” that you may want to take care of so when this year is in full swing there are no hiccups in how efficiently your practice runs.

Setting up your schedule for the rest of the year.
Your staff may notice that when a patient comes in this month for their routine cleanings, that when they click on the schedule recall button the hours of operation do not show on the schedule. This means that your hours of operation need to be set up for the rest of the year. To update this information go to the Setup menu then click on Schedules.
When you see this box you are in the right place. Single left-click on any day in the last week you see hours of operation, it will turn gray. Click on the copy week button in the lower left. You’ll see the date range of the week you selected show up in the clipboard contents. Next to the repeat button put the number 52 in the number field. When you click on the repeat button your schedule will fill in the hours of operation for the next year.

Entering pay periods for the year so you can use your time clock
Did you try clocking in and notice that when you viewed your time card there was nothing there? This is a simple correction too.
Go to the Setup menu, then click on Time Cards at the bottom of the menu. When you click on Time Cards you’ll notice that the last pay period will probably end in the year 2013. Click on the add button in the lower left-hand corner and you will notice that the next calculated pay period will automatically show up, just click okay to save. It will only take four to five minutes to enter all of your pay periods for the year 2014. I recommend that you do this to avoid any payroll hiccups in the middle of the year.

CDT 2014 codes for billing.
Practice-Web version 12.1.35 is ready to be downloaded and contains a tool for installing the CDT-14 codes. This is a free update with your current support. Go to the Help menu, and update. If you are not on 12.1.35 call support and we will give you the password and instructions for this update. By updating to the CDT-14 codes it will help minimize your claim rejections due to incorrect billing codes.
